Frequently Asked Questions

What is access control and how does it work?

Access control is a system that manages who can enter specific areas and when. It replaces mechanical keys with electronic credentials — fobs, cards, PIN codes, biometrics, or a smartphone — that are presented to a reader at the door. If the credential is valid for that door at that time, the lock releases and the event is logged. Unlike keys, credentials can be issued, restricted, and revoked centrally in seconds, and every entry is recorded. Systems range from a single-door keypad to enterprise platforms managing thousands of users across dozens of sites.

Should I choose a standalone or a networked system?

It depends on scale and how you want to manage it. A standalone system controls one or a few doors, is programmed at the door itself, and has no ongoing software or licence — ideal for a small office or a server room. A networked or cloud-managed system lets you administer every door and user from a web browser, gives you a full audit trail, and allows you to add or revoke credentials remotely across multiple sites. If you have more than a handful of doors, expect to grow, or want central control and reporting, a networked system is usually the better long-term choice. We advise on the right fit during your survey.

Can I use my phone instead of a fob or card?

Yes. Mobile credentials turn a smartphone into a secure electronic key over Bluetooth or NFC. They are convenient — people rarely forget their phone — and secure, because they can be issued and revoked remotely with nothing physical to lose or clone. Mobile credentials can be mixed with cards, fobs, PINs, and biometrics on the same system, so you can choose the right method for each door or user group.

Will my access control doors still open in a fire?

Yes — this is a legal and safety requirement, and we install to BS 7273-4. Any controlled door on an escape route is interfaced with the fire alarm so that it releases automatically (fails safe) when the alarm activates, allowing free egress. We design and commission the fail-safe behaviour to suit each door’s function and the building’s fire strategy, and we test it as part of commissioning and ongoing maintenance.

Is access control data covered by GDPR?

Yes. Access control logs record who went where and when, and biometric systems process special-category personal data. Under UK GDPR you must have a lawful basis, retain the data only as long as necessary, secure it appropriately, and be able to respond to subject access requests. We design systems with data protection by design and default, advise on retention and consent, and configure permissions so that only authorised administrators can view logs and biometric records.
